How to Migrate Law Firm File Shares to SharePoint Without Losing Document IDs

A partner opens a closing memo from 2015 and clicks a link to the signed side letter. An error appears. The file was moved during last year’s “cleanup,” and no one recorded where it went.

Old matters may not seem important until someone needs them. That is the hidden risk of every legacy file server migration.

Why the Legacy File Server Is Now a Leadership Problem

  • A hard date. Microsoft ends extended support for Windows Server 2016 on January 12, 2027. After that, security updates will require a paid program.

  • A costly downside. IBM’s 2025 report puts the average cost of a data breach at $4.44 million globally and a record $10.22 million in the US.

  • A targeted sector. The ABA’s Legal Technology Survey reports that 29% of law firms have experienced a security breach.

An ageing server filled with closed-matter client data is a risk no one wants to own.

  • Document IDs and cross-references. Systems of record such as iManage rely on stable IDs. Memos, citations and saved searches can point to these IDs. If a new ID is created, the link can stop working.

  • Folder trees. A matter’s folder structure carries important meaning: client, matter, workstream and document type. Flattening that structure can remove important context.

  • Path length and naming. Microsoft limits SharePoint and OneDrive paths to 400 decoded characters, with 255 characters per name segment. It also blocks characters such as " * : < > ? / \ |. Years of descriptive folder names can easily run into these limits.

A basic copy tool may fail an entire batch or quietly skip files. Neither outcome is acceptable for a client record.

The Missing Piece: A Sync Layer Built for Legal Content

Most migration tools work like a moving truck. They copy the files and leave.

A purpose-built sync layer works more like a bridge. It connects the old network share with Microsoft 365 and the system of record, keeps the content aligned, and allows you to close the old system only when you are ready.

Here is what that looks like, feature by feature:

What it doesWhat you gain
Syncs one way or both ways between network shares, SharePoint, Teams, OneDrive and the system of recordA live bridge instead of a risky weekend cutover. Lawyers can keep working.
Moves a single file or an entire matter hierarchyMigration can happen in stages, one practice group at a time.
Carries metadata, permissions and version historyClient, matter and security context are preserved. Nothing has to be rebuilt by hand.
Retains original document IDs in the system of record, including when content moves between librariesMemos, citations, and saved searches continue to resolve.
Detects over-length paths and illegal characters first, adjusts the visible name, and stores the original name in a metadata fieldNo failed batches, and no document loses its original name.
Reports every file that cannot moveYou have a clear record of what happened, with no silent loss.
Stages migrated matters in an archive library until security policies are appliedInactive matters are not exposed by accident.

Picture the first migration wave. A litigation group’s 2014 to 2018 matters sync to an archive library overnight. On Monday morning, the knowledge manager opens an exception report showing eleven files with problem names. Each file has already been adjusted or flagged.

Nothing disappeared, and nobody had to call the help desk.

A Practical Roadmap

  1. Inventory. Separate active, inactive, and redundant content.

  2. Choose destinations for purposes. Governed records go to the system of record. Reference material can go to Microsoft 365.

  3. Pilot one group with deep folder structures to find problems early.

  4. Run in parallel until teams are comfortable with the new location.

  5. Validate by sampling links, IDs, version counts, and permissions.

  6. Decommission with evidence, keeping the exception report on file.

The Business Case

  • Lower liability. Fewer ageing servers mean a smaller attack surface for client data.

  • Avoid bridge costs. Retire servers before the support deadline instead of paying for extended updates.

  • Fewer lost hours. Lawyers spend less time searching for documents that have been moved.

Retiring a file server means making sure every reference a lawyer has ever made still leads to the right document. The right sync layer helps you keep that promise.

Quick Answers

Does migrating to SharePoint change document IDs?

It can, unless the migration process is designed to retain them in the system of record.

A tool that syncs instead of simply copying, preserves metadata and versions, handles naming limits automatically, and reports exceptions.

What is the SharePoint path limit?

400 decoded characters for the full path.

When does Windows Server 2016 support end?

January 12, 2027.
